AI Interview and Candidate Screening With Human Review

VaultedAI is developing AI interview and candidate screening workflows for employers that want consistent applicant information without surrendering hiring decisions to software. CareerEvaluator is the planned applicant facing interview configuration. CandidateEvaluator is its related internal review capability. Both are in planning or testing, not represented as launched recruiting products. Their design begins with the job requirements and the decision points a human hiring team must own.

Why Separate the Interview From the Hiring Decision?

An applicant interview and an employment decision are not the same job. The interview gathers information through questions the employer has chosen. A hiring team considers that information alongside qualifications, context, accommodations and other appropriate evidence.

When those activities are blurred, a system can appear to reject someone because a scripted conversation missed the point of an answer. VaultedAI instead proposes two functions with separate permissions. CareerEvaluator records what the applicant said. CandidateEvaluator can organize that record against documented requirements for an authorized reviewer. Neither function is designed to independently decide whom to hire.

The proposed workflow identifies the human owner before any questions are sent. That owner approves the job requirements, review format and applicable notices.

What Would CareerEvaluator Do?

CareerEvaluator is a planned Evaluator family agent for structured applicant interviews. The employer defines questions relevant to the role, acceptable response formats, language needs, time limits where appropriate and conditions for stopping or escalating.

The interview could explain the purpose of the questions and how a person can obtain assistance. The applicant then provides responses through an approved channel. A completed session is designed to create a reviewable record and summary, with ambiguous or missing answers marked as such.

The system must not invent qualifications or infer personal traits from a speaking style, facial expression or background detail. It should not interpret an interrupted connection as a lack of interest. If a candidate cannot use the offered format, the workflow must point to an accessible alternative controlled by the employer.

The first test is whether the record accurately represents the actual answer. The second is whether the questions produce information the human reviewer needs.

What Would CandidateEvaluator Do?

CandidateEvaluator is the proposed internal screening companion to CareerEvaluator. It is designed to present a structured view of information the candidate supplied and the job requirements the employer approved.

For example, an employer may require a particular active credential or defined schedule. The proposed output can show which response addressed that requirement, identify a missing answer and invite a reviewer to confirm a fact from its proper source. It should not silently turn missing information into an automatic rejection.

A reviewer must be able to inspect the original answer and correct the summary. The workflow should record revisions and identify the person responsible for the employment decision. A machine generated indication of fit must not masquerade as proof that someone will succeed or fail in a job.

CandidateEvaluator belongs behind the employer review process. It is not an independent public ranking service.

How Are Interview Questions Chosen?

Start with a current job description and identify the actual duties and requirements. A recruiter and hiring manager should agree which questions belong in an initial interview and which require a human conversation. Existing company policies still apply.

Questions should have a defined purpose. If the same fact already appears in the application, the employer should decide whether asking again improves reliability or merely wastes the applicant's time. If a job requirement cannot be explained plainly, it needs more work before becoming a scoring instruction.

The proposed system can support a question library, but the employer remains accountable for its content. A change to a requirement should be versioned so reviewers understand which applicants received which questions. This matters when a job posting changes while interviews are underway.

What Does a Human Reviewer See?

A useful review screen distinguishes original applicant answers, a structured summary, missing information and a proposed next question. It also shows whether the interview was complete, interrupted or referred to staff.

A reviewer should be able to inspect the evidence for every summary statement. Unsupported interpretations need correction. The record should not conceal that a response was ambiguous or the system could not understand it.

Human review also needs an appropriate process for an applicant to dispute a factual transcription or request an alternative path. That path belongs to the employer and must be included before a pilot with real applicants.

How Should Accessibility and Fairness Be Handled?

Software does not become fair merely because the same questions appear on every screen. Differences in disability, language, technology access and communication can change what a tool captures. An employer needs a workable accommodation process and a route to a person.

The United States Equal Employment Opportunity Commission has published guidance about disability discrimination risks when employers use software and artificial intelligence to assess applicants. New York City regulates certain automated employment decision tools, including applicable bias audits and notices. Whether a particular workflow falls under a rule requires review of how the employer actually uses it and where it is used.

We would not describe a planned hiring configuration as compliant, audited or bias free. Those determinations require evidence, appropriate professional review and attention to changing rules.

Can an Applicant Avoid the AI Interview?

Yes. A planned applicant intake will display the employer's working phone number, direct email and accessible online form, with human assistance and accommodation information. The applicant may select a channel without first speaking to an AI. A voice interview is optional, and the employer must arrange effective alternatives where needed. Keyboard navigation, screen reader interaction, understandable form errors and actual delivery of a submission belong in the acceptance test. The employer remains responsible for disability related accommodation obligations.

How Would Applicant Information Be Protected?

An interview may collect contact details, job history, documents and sensitive personal information. The design should specify who can read responses, which systems receive them and when records are deleted under the employer's policy.

The default architecture limits the agent to information needed for its task. A useful implementation separates a review record from logs required for troubleshooting. Personal content should not be copied into shared project documentation to diagnose a failure.

Retention rules, applicant notices, recording permissions and supported integration methods are scope questions, not assumptions buried inside a generic privacy statement.

Will It Connect to an Existing Applicant Tracking System?

That depends on the system. Some applicant tracking products support documented APIs or imports, while others restrict access or require a vendor agreement. We begin with the current system and confirm its supported method before promising a connection.

The proposed data map identifies what happens to an application, interview invitation, completed response, recruiter note and change of status. It also defines which system remains the official record. When a handoff fails, a reviewer needs a visible exception rather than an application silently disappearing.

A replacement subscription is not an automatic requirement. We consider one only when the current platform cannot meet the agreed workflow within reasonable operating limits.

How Would the Service Be Priced?

Our proposed managed deployment has mandatory paid setup covering question design, workflow configuration, approved integrations, test cases and acceptance. Recurring management covers defined monitoring, support and routine changes. The quote specifies a monthly allowance of completed interviews and screening summaries with transparent overage rates.

Speech, transcription, messaging, model processing and other vendor charges are separate and subject to agreed cost controls. No numerical rates are public until approved. A pilot also needs to measure actual interview duration and exception costs before an allowance is finalized.

What Must a Pilot Prove?

A controlled test uses synthetic applicants first. Include clear answers, unclear answers, accessibility alternatives, duplicate submissions, interrupted interviews and a failed applicant tracking update.

The team should compare source answers with structured summaries, document incorrect interpretations and verify human takeover. Employment rules and the employer's review process must be cleared before a real applicant is invited into a production workflow.

A successful test establishes what the tool can do reliably within a stated scope. It does not establish that every role or employer can use the same design unchanged.
