Managed AI Agents for Business

VaultedAI is developing managed AI agents for businesses that need more than a one time automation build. The proposed service combines a configured agent, operational monitoring, controlled changes and human escalation. Each deployment begins with a paid implementation and continues under a defined monthly management agreement. The individual named agents described here are planned or in testing, not currently represented as live customer deployments.

Why Does an AI Agent Need Management?

A business process does not stop changing after the first successful demonstration. A form field changes. An employee leaves. A connected system changes its permissions. An unexpected answer creates an exception. A vendor service becomes unavailable. The original workflow may still look right on a diagram while the actual process needs attention.

An unmanaged automation can leave this work with the business owner, an employee who inherited a password or a consultant called only when something breaks. Our proposed managed model gives that responsibility a documented owner. It defines what will be checked, how failures will be handled, when a person is involved and which work requires a separate authorization.

The objective is not to promise uninterrupted operation. It is to make the operating arrangement visible before the agent is allowed to handle consequential work.

What Would Monthly Management Cover?

1. Execution Checks and Alerts

The management plan specifies which scheduled or triggered runs will be checked, which failures produce alerts and who receives the alert. A missing event and a failed event are different problems. The monitoring design should recognize both, within the limits of the selected platforms.

2. Failure Review and Safe Recovery

An agent may fail after creating a record but before sending a confirmation. Blindly repeating the entire workflow could create duplicates. The support process examines the recorded state, identifies a safe recovery step and escalates when replay cannot be trusted. The incident record captures what happened and how the workflow was restored or stopped.

3. Routine Question and Rule Changes

Businesses update their questions, staff assignments, service descriptions and routing criteria. Each plan includes a defined allowance for minor adjustments to an approved workflow. Changing an interview question is not the same as inventing a new product or replacing the underlying architecture. The contract describes the boundary.

4. Supported Connection Maintenance

We plan around the software a business already uses. Existing approved connections may require routine attention to authentication, field mappings and supported platform changes. New systems, major vendor migrations and complex interface development remain separate projects.

5. Permissions, Approval Gates and Escalation

Agents should receive only the data and tools required for their assigned tasks. The design records which actions need human approval, who may reverse an action and where uncertainty is sent. A legal judgment, employment decision or other regulated determination stays with the properly authorized person.

6. Usage and Budget Oversight

AI models, speech services, messages, automation runs and outside APIs can produce variable charges. An agreement should establish the vendor cost categories, approved budget and response when a threshold is reached. The proposed controls use notifications at 70 percent, 90 percent and 100 percent, with explicit approval rules before discretionary spending continues.

7. Operating Reports

The useful report starts with the original reason for building the workflow. For an intake agent, that could mean response time and completion. For document collection, it could mean files still waiting for an item. Reports should distinguish successful completion, manual intervention, exceptions and cost. The plan defines whether the report is monthly or quarterly.

8. Technical Support and Incident Triage

A named support window is more useful than an unlimited promise. Each proposed plan defines when an issue will be acknowledged, how priority will be assessed and which conditions can delay recovery. Automated alerts do not mean a person is staffed around the clock. Dedicated coverage requires a separate agreement.

Which Business Workflows Are Being Developed?

VaultedAI uses two separate named families. Vaulted Function IQ names remain attached to platform products such as Entry IQ, Revenue IQ and Governor IQ. The Evaluator family contains planned agents such as CaseEvaluator and CareerEvaluator, with CandidateEvaluator as a related internal review capability. Managed AI Agents is the service used to deploy and operate eligible agents.

Collector is a separate cross product agent for document and information follow up. It can request missing items, follow up, track completion and escalate unresolved work to a human. It must not be described as Collections IQ or as a configuration of an IQ product.

Reusable patterns may be shared across products and agents, but this page does not assert an unverified build dependency between them. Each agent still needs its own field definitions, routing rules, supported connections, access rights and test cases. An interview for prospective legal clients is not simply an employment interview with a different logo.

How Does an Intaker Support Accessible Channel Choice?

Each planned intaker will present a working phone number, a direct email address and an accessible online form before asking anyone to use an AI interview. The visitor chooses the method, with human assistance and a route to request accommodations. Keyboard use, screen readers, clear labels and errors, and alternative input methods belong in acceptance testing. We design toward WCAG 2.2 AA and review applicable ADA requirements before claiming compliance.

What Is Not Included?

Monthly management is not a promise of unlimited engineering. A new CRM connection, substantial question redesign, historical data cleanup, new channel, major security assessment or custom application is separately scoped. Third party subscriptions, AI usage, telephone minutes, messages, transcription and other vendor charges are also separate.

The customer either owns the relevant vendor accounts or approves a transparent rebilling arrangement. Vendor outages, unsupported connections and changes outside VaultedAI control cannot be covered by an invented uptime guarantee. When a defect comes from the implementation delivered under the contract, the agreed implementation warranty should address it rather than disguising the fix as additional development.

How Would Setup and Monthly Fees Work?

A configured deployment requires initial process mapping, question design, system mapping, access controls, test data, exception paths, documentation and acceptance. That work has a mandatory setup charge for every separately deployed agent. A promotion or a bundled monthly service does not erase the cost of that work.

After implementation, the managed plan pays for the defined operating service. A completed task allowance and an overage rule can make processing volume predictable. Separate vendor usage covers the underlying technology consumption. The public price is quoted by deployment until final pricing is approved.

The quote should tell the buyer what counts as a completed intake, a completed interview or an active file. It should also explain whether abandoned attempts count, which report reconciles usage and what happens when an account reaches its budget limit. The customer should not discover these definitions in an invoice dispute.

How Do We Decide What to Automate First?

Start with a workflow where staff repeatedly request the same facts, chase the same missing document or route the same type of request. Identify the person who owns the process. List the software already used, the facts needed to finish a task and the conditions that require judgment.

Then identify measurable operating signals. Examples include the share of complete intake records, the age of open document requests, the number of manual corrections and the time between a request and a human response. A pilot should record the starting condition before anybody promises improvement.

The controlled pilot must exercise normal cases, incomplete answers, duplicates, failed downstream calls and the manual stop path. The proposed agent is tested first against internal operating needs before external production use is described as proven.

Who Makes the Final Decision?

The business retains authority over important decisions. An intake result can organize a conversation, but a person decides whether a legal matter is accepted. A candidate interview summary can assist review, but a person makes the employment decision. A missing document alert can request information, but it cannot invent a valid approval.

That division of work is part of the specification, not a footnote. It determines which actions are automatic, which need a second set of eyes and which can never proceed without authorization.
